Manually Adding Timetables
Who should use this guide?
This guide will help you to manually add timetables into SchoolCloud Room Booking. This may be necessary if:
- you don't have a school management system we currently support, or
- you are using a hosted SIMS installation which your provider does not support, or
- we have advised you to use the manual import method.
NOTE: Please do not manually import your data if your system is set up to sync with your school management system as any manually imported data will be overwritten when the sync runs. Any questions please contact us via support@schoolcloud.co.uk.
What's a Timetable?
A timetable is a collection of scheduled classes which acts as permanent bookings at set times in specific rooms.
As an example Class 1A runs every Wednesday Period 1 in the IT Room. Setting up a timetable and adding the classes to this will then show this automatically on the calendar every Wednesday.
Why would I need to add a new Timetable?
A timetable must exist on the system for bookings to be made even if no classes are linked to it.
Examples of when this would need to be done:
- When you are setting up a new system.
- If you have an existing system and there is not a current timetable set up.
- You have a timetable set up and you want to set up timetables for a new term with a future date.
- A year group leaves school and you wish to free up these rooms.
Timetable Type
The type of timetable determines how your scheduled classes repeat. SchoolCloud Room Booking can support many timetable types e.g single weekly, bi-weekly, 4 weekly etc.
Adding a Timetable
To add a new timetable follow the steps below.
- Log onto the system as an Admin and from the bar at the left of the screen select Timetable > Manage Timetables.
- The type of timetable set up on your system is displayed at the bottom of the text on the right hand corner of the screen. If you would like to change this please contact us by clicking the link or via support@schoolcloud.co.uk.
- To add a new timetable enter the details in the blank fields under Start Date & Description. If you already have timetables set up on your system you will see these listed.The start date should be the date you want the timetable to start and the description should be something that is meaningful to yourself, this will only be seen by an Admin when they access the Manage Timetable or Timetable Imports screens.
Click Add New. The details will be added. No classes will be linked to the timetable at this stage. To link the classes to the timetable plesae see our guide Manually Importing Timetable Classes.
